Version 1.0. Effective 16 October 2026.
1. Who we are and what this policy covers
Steel Frame Manufacturing Limited (NZBN 9429051681876) of 29 Studholme Street, Waimate 7924 (“SFML”, “we”, “us”) manufactures and supplies steel frames and kitsets. This policy explains how we collect, use, store and share personal information when you use steelframeman.co.nz, request a quote, place an order, or contact us by phone, email or WhatsApp. We follow the Privacy Act 2020.
It applies to customers, people who enquire, visitors to our website, and the suppliers and contractors we deal with. Our Terms and Conditions of Supply cover your contract with us. This policy covers your information.
2. What personal information we collect
- Contact details: your name, email, phone number, company, and delivery or site address.
- Project information: plans, drawings, photos, site details and any files you send or upload to us.
- Order and payment details: what you ordered, invoices and payment status. Card payments are processed by Stripe. We do not see or store your full card number.
- Communications: emails, phone calls, WhatsApp messages and website form submissions, including notes we make about them and how you heard about us.
- Website data: your IP address, device and browser type, the pages you visit and how you arrived, collected through cookies and similar tools.
3. How we collect it
Most information comes directly from you: when you fill in a form, request a quote, place an order, check out online, or contact us by phone, email or WhatsApp. Our website also collects some information automatically through cookies (see section 6).
Sometimes we collect information about you from someone else, such as your builder, designer, architect or engineer who sends us plans for your project, or an advertising platform when you submit an enquiry through one of our ads. When that happens, we collect it to quote, design and supply your project. We may share it as described in section 5. The organisation holding it is SFML. You have the access and correction rights in section 9. We will tell you as soon as reasonably practicable after we collect information this way, unless you already know.
4. Why we use it
We use your information to:
- quote, design, detail, manufacture and deliver your order
- take payment, invoice you and keep our financial records
- reply to your enquiries and provide the on-call support included with your order
- deal with warranty claims, faulty goods and disputes
- run and improve our website, and measure how well our advertising works
- send you news or offers, where you have agreed or where you are an existing customer and can opt out at any time
- meet our legal obligations, including tax and building-related record keeping
We do not sell your personal information.
5. Who we share it with
We share only what is needed, with:
- freight and delivery companies that deliver your order
- engineers who prepare producer statements (PS1 and PS3) for your frames
- suppliers of products we buy in for your order
- payment, accounting and job-management providers, including Stripe, Xero and WorkflowMax
- email, website hosting and security providers
- advertising and analytics providers, including Google and Meta (see section 6)
- our lawyers, accountants and other professional advisers
- regulators, courts or the police, where the law requires or allows it
Where a provider handles information on our behalf, we stay responsible for it. If our business is sold, your information may pass to the new owner, who must keep using it as described here.
6. Website cookies, analytics and advertising
Our website uses cookies and similar tools of three kinds:
- Essential: keep your cart, checkout and site security working.
- Analytics: such as Google Analytics, to see how visitors use the site so we can improve it.
- Advertising: tags from Google Ads and Meta (Facebook and Instagram) that measure our ads and may show you our ads on other sites.
You can block or delete cookies in your browser settings, and manage ad personalisation in your Google and Meta account settings. If you block essential cookies, parts of the site such as the cart may not work.
7. Sending information overseas
Some of our providers, including Google, Meta (which owns WhatsApp), and Stripe, store or process information outside New Zealand, for example in the United States, Australia or Europe. We choose providers with established privacy and security commitments. In some cases an overseas provider may not be required to protect your information in a way that is comparable to the New Zealand Privacy Act. We tell you this so you can decide whether to go ahead. If you do not want your information handled this way, tell us before you send it, and we will discuss other options such as phone or email.
8. Storage, security and how long we keep it
We store information electronically in cloud systems for website hosting, email, accounting and job management. We protect it with passwords, access controls and encryption in transit, and limit access to people who need it for their work.
We keep information only as long as we need it for the purposes in section 4 and to meet legal requirements. As a guide, we keep financial records for 7 years, as tax law requires, and project and order records for up to 10 years, because building-related claims can arise that long after delivery. Website analytics data is kept for the period set by the provider. When we no longer need information, we delete it or make it unidentifiable.
9. Your rights: access and correction
You can ask us what personal information we hold about you and ask us to correct anything that is wrong. Email info@steelframeman.co.nz or call 0800 1 STEEL (78335). We will respond as soon as we can and within 20 working days. We may need to confirm who you are first. In limited cases the Privacy Act lets us refuse or withhold some information, and if we do, we will tell you why. You can also ask us to delete information we no longer need.
10. Marketing, breaches, complaints, changes and contact
Marketing. We send marketing only where you have agreed, or where you are an existing customer. Every message lets you unsubscribe, or you can tell us to stop.
Privacy breaches. If a breach of your information is likely to cause you serious harm, we will tell you and the Privacy Commissioner as the law requires.
Complaints. Contact us first and we will try to put it right. If you are not satisfied, you can complain to the Office of the Privacy Commissioner at privacy.org.nz, by phone on 0800 803 909, or by email to enquiries@privacy.org.nz.
Changes. We may update this policy. The current version is always on our website.
